Director of Client Services

Key responsibilities

A Director of Client Services is responsible for making sure client and customer needs are being met and understood by each department in the company. Their duties include handling any client complaints, working to find solutions to any client issues, and managing their regions to ensure clients are experiencing a positive client-company relationship. We believe that you will achieve success by retaining agents and staff and growing your client base month over month.

  • Plan, execute, and manage client accounts and files.
  • Collaborate with clients to determine service needs and expectations.
  • Develop service plans to meet client goals and objectives.
  • Build relationships with clients to ensure success and retention.
  • Provide regular updates, respond to inquiries, and address any client concerns in a timely manner.
  • Coordinate and facilitate regular client meetings.
  • Monitor and manage the service performance of all team members.
  • Oversee the development of new client relationships.
  • Manage and lead a team of International Transaction Coordinators who are dedicated to supporting the client. (if applicable)
  • Manage the region by inputting all service/s related data into the company system.
  • Prepares reports that keep management and team members informed of industry news, customer news, sales objectives, accomplishments, and competitive information.
  • Responsible for revenue/volume/retention/partnership growth targets in the assigned Region.
  • Collecting and analyzing feedback concerning consumer needs and changes needed.
  • Collaborating with all internal departments to ensure that customer needs are met. (if applicable)
  • Handle all management, including hiring, terminations, job coverage, and more of team members in the assigned Region.

Requirements

  • Must obtain and hold a state real estate salesperson license.
  • Ability to read and understand residential real estate transaction documents, such as a purchase & sale agreement, etc.
  • Real Estate software knowledge, such as KW Command and DocuSign, preferred.
Transaction Coordinator – In-person/Remote

A real estate transaction coordinator manages administrative tasks, paperwork, and deadlines for a real estate transaction to ensure the process is smooth and compliant. Act as a liaison between buyers, sellers, agents, lenders, and escrow companies, handling details like coordinating inspections, verifying signatures, and tracking contract timelines. This role allows real estate agents to focus on client-facing and revenue-generating activities.

Key responsibilities

  • Document management: Ensuring all documents are accurate, complete, and properly signed and submitted.
  • Communication: Acting as a central point of contact for all parties involved, including agents, buyers, sellers, lenders, and title companies.
  • Scheduling: Arranging and coordinating inspections, appraisals, and closing meetings.
  • Timeline management: Tracking deadlines and ensuring all milestones are met, which helps avoid errors and delays.
  • Compliance: Making sure all aspects of the transaction follow real estate laws and regulations.

Administrative Support

  • Perform general administrative duties, including scheduling, filing, and document management.
  • Prepare file information forms and correspondence, as needed.
  • Maintain organized digital filing systems.
  • Support closing team operations

Requirements

  • Must obtain and hold a state real estate salesperson license
  • Ability to read and understand residential real estate transaction documents, such as a purchase & sale agreement, etc.
  • Real Estate software knowledge, such as KW Command and DocuSign, preferred.
  • 2+ years of real estate experience in transaction management.
