Standard Tasks include, but are not limited to:


Contract Ratification & File Setup

  • Review the fully ratified contract (verify signatures, initials, dates).
  • Confirm key deadlines: financing, inspection, HOA/condo, appraisal, and closing.
  • Collect disclosures (Residential Property Disclosure, Lead-Based Paint, etc.).
  • Create the transaction in Command.
  • Notify the lender, title company, and cooperating agent of the start.
  • Prepare and send the “Welcome” email to clients.

Compliance & Document Collection

  • Upload and review all documents for accuracy and completeness.
  • Ensure all broker-required forms are present (Agency, Brokerage Agreement, etc.).
  • Track addenda and amendments (extensions, repairs, credits).
  • Communicate with compliance.
  • Maintain a checklist for broker review submission and status tracking.

Communication & Timeline Management

  • Send an introduction email to all parties (agents, lender, title, and client).
  • Build a timeline including earnest money delivery, contingencies, and settlement.
  • Send reminders for key dates (home inspection, appraisal, loan commitment).
  • Coordinate utility setup and inspection scheduling with the buyer or listing agent.
  • Manage repair negotiation and track agreed-upon items.

Inspection, Appraisal & Loan Process

  • Confirm home inspection completion and receipt of reports.
  • Track negotiation addenda and broker approvals.
  • Ensure appraisal is ordered and received on time.
  • Monitor loan status; request updates from the lender.
  • Update client on progress and next steps.

Closing Preparation

  • Confirm the title company has all the needed documents.
  • Verify closing date, time, and location.
  • Review preliminary ALTA/CD for accuracy.
  • Ensure all signatures, initials, and dates are accurate in the final documents.
  • Send a closing confirmation email with details for clients and agents.

Closing Day

  • Confirm funding and recordation.
  • Notify all parties when the file officially closes.
  • Send congratulations and a post-closing email to the client.
  • Deliver any final commission disbursement or referral instructions.
